Important Information for First Time ISA EXPO Exhibitors

Welcome to ISA EXPO

We're delighted you will be joining us in Houston for ISA EXPO 2009. Following is some information that may help in the days leading up to ISA EXPO.

Exhibitor Badges

Badges must be entered before the deadline date of 7 September to be printed and mailed.  If entered after the deadline date of 7 September the only option will be for them to be held for pick-up on site at the Exhibitor Advanced Registration counter.

If there are any changes, corrections, deletions or replacements that need to be made to badges this must be done on-site at Exhibitor Registration.

Crate Delivery to Your Booth and Storage During ISA EXPO

Once your shipment arrives at the Reliant Center, Freeman will unload your shipment and deliver it to your booth.  Once your crates are empty Freeman will remove and store the crates during the show.  At the close of the show Freeman will return them to your booth, and they will then load your freight to your outbound carrier.  Freeman charges a material handling fee for this service, which is commonly called drayage.  The fee is based on the weight of your shipment.  Check the Shipping and Materials Handling section of the Freeman services manual for exact pricing.  All exhibitors shipping materials to the show will have to pay material handling fees so it is very important to thoroughly read and understand Material Handling.

Private Truck Deliveries to ISA EXPO

You can drive your own truck with your display material to the show. Like all other shipments, you will need to go to the marshaling yard and check-in, wait until you are called, drive to the dock where Freeman will unload your shipment and deliver it to your booth. You will be charged material handling fees based on the weight of your shipment and you will also be subject to off target charges if you do not arrive at the marshaling yard by your target unload time. Hand Carry Materials into ISA EXPO

Exhibitors may hand-carry their own materials into the exhibit facility. The use of rental dollies, flat trucks and other mechanical equipment is not permitted. However, if your equipment (pop up booths, etc.) has wheels, that is permitted. If are unloading your own vehicle enter the North Stadium Gate into the Reliant Complex. This will bring you directly behind the loading docks. There will be security officers on hand to instruct you where to park to unload your vehicle. If you need labor to assist you, please check in at the Freeman Decorating check-in trailer. It will be located on the street behind the loading docks directly to your left as you enter the complex. You will need a bill of lading telling Freeman what booth to take the materials to, the number of pieces and the weight of the product. Freeman personnel will get you the correct paperwork to take to the loading dock for their labor to unload your vehicle.

Booth Set-up

ISA has a policy that all booths must be completely installed by 4:00 pm on Monday, 5 October.  Plan on having all of your crates, pallets and boxes empty and labeled with an “Empty” sticker before 6:00 pm on Monday, 5 October.  You may continue to work in your booth until Monday, October 5th  at 11:00 pm but you will not have access to your crates, pallets or boxes. 

Children Are Not Allowed

Children under 16 are NOT allowed in the show during move-in and move-out or show days because heavy equipment will be operating on the show floor.  There will be absolutely no exceptions to this policy.

Exhibitor Access to Facility

Exhibitors may work in the facility from 7:30am-5:00pm, Thursday through Saturday during move-in.  Sunday the hall will be closed.  Exhibitors working in the hall at 8:00pm Monday night may continue to work within their booth until 11:00pm. The halls will open to exhibitors at 7:30am on Tuesday, 6 October. If you require access to the facility before or after these hours, you must make arrangements in advance with ISA Show Management.
